Job Description:

W. W. Norton & Company is seeking an Affiliate Services Coordinator (ASC) to join its New York Office team. This position reports to and assists the Affiliate Sales Director under the umbrella of the Trade Sales Department, headed by the Trade Sales Director. The ASC serves as a liaison to our affiliate publishers, which includes management of metadata, troubleshooting systems and operations issues, management of departmental schedules, generation of sales and other reporting, and sales coordination between the affiliates and the sales reps.

Essential Job Responsibilities Include:

  • Serves as a liaison and problem-solver to the Affiliates, connecting them to the proper departments within Norton, including the warehouse.
  • Maintains calendar of seasonal metadata needs and coordinates with affiliates. This includes assisting with ISBN set up, seasonal Sandbox set up, quality control of all metadata and promotion of metadata.
  • Fields questions and requests from reps regarding affiliates and works with Affiliate Sales Director to resolve.
  • Serves as the administrative liaison of the affiliate department to the Sales Director and to the overall structure of the sales department.
  • Schedules positioning and other monthly meetings of the Affiliate Sales Director with Affiliates and communicates Norton scheduling needs.
  • Coordinates the collection and dissemination (via mail, email or digital posting) of sales materials, including internal images for EW, ARC and DARCs, seasonal catalogs, BLADs and other material needs for the sales reps.
  • Manages the Edelweiss platform for all Affiliates.
  • Maintains a system of tracking Affiliate pub date changes and communicates them to the sales force.
  • Trains affiliates in all Norton processes, including metadata entry, ebook associations and pricing, Quickview, Edelweiss publicity, and any other relevant Norton systems.
  • Manages Affiliate POD titles with Amazon CreateSpace.
  • Assists in developing sales reporting in Salesforce for analysis by the Affiliate Sales Director and compiles the reports for regular Affiliate business reviews.
  • Assists in scheduling and set up of sales conference, coordination and collection of Affiliate PowerPoint presentations, and runs the operations during the Affiliate portion of conference. Will attend sales conference for opening and set-up and then only for the Affiliate portion of conference.
  • Assists Trade Sales Coordinator in coordination of BEA and other trade shows that include Affiliates, and assists in set up at BEA when required.

Experience and Skills:

  • Must be able to work full business hours from Norton’s New York office headquarters, with the occasional requirement to work late to meet deadlines or on a weekend to assist with conferences. Little to no travel required.
  • Should have strong customer service skills, organizational skills and be able to meet strict deadlines.
  • Should have strong Microsoft Office, Excel, Word, Access and general systems skills. Experience in Edelweiss and SalesForce a plus, or a curiosity and enthusiasm to learn.
  • Bachelor’s degree or two years of experience in publishing.
  • Ability to work in the United States for any employer.
