Job Description:

National Book Company, a subsidiary of W. W. Norton & Company, is seeking an organized, enthusiastic, articulate, and proactive individual to work directly with the AP department as an AP clerk. This individual will interact with employees across the Company and outside vendors.

Essential Job Responsibilities Include:

  • Processes invoices and check requests for payment after ensuring the correct account codes and approvals are received.
  • Generates checks or ach payments as necessary.
  • Charges invoice amounts to general ledger and costing systems by analyzing invoices, expense reports, and other documents, as necessary.
  • Verifies vendor’s Federal ID number for accuracy prior to processing payments.
  • Resolves invoice, payment, and document discrepancies.
  • Ensures credit is received for outstanding credit memos.
  • Reconciles vendor accounts by reviewing monthly statements and related transactions.
  • Maintains a large number of vendor accounts by reviewing and updating vendor account information as necessary (addresses, tax IDs, duplicate vendors etc.).

Works to improve related processes for greater efficiency and accuracy.

  • Exercises considerable judgement and confidentiality when handling information and communication.
  • Addresses and respond to vendor and employee inquiries.
  • Assists with projects and duties as necessary.

Experience and Skills:

  • High school diploma.
  • Employment eligibility to work for National Book Company in the US is required.
  • Must be able to work full business hours.
  • Must be highly organized, disciplined, and self-motivated.
  • Must have good time management skills.
  • Must be detail-oriented, making sure that all aspects of the daily activities are handled with accuracy and minimal mistakes.
  • Must be proficient in Microsoft Office (Outlook, Excel, Word).
  • Great Plains knowledge is a plus but not required.
